Creating Committees and discssing volunteer positions

This meeting took place via Zoom and began at 7:06pm

In Attendance

Lisa Bechtol, Officers Abbie Beckman, Kate Schmitz, Lilli Seto, Zsa Zsa Beauchene, as well as representatives Addison Bubonic, Samaya Martz, Maya Torres, Maya Salazar, Abby McKinley and Grace Jefferson were present.

Old Business

First we went over last meeting minutes and elaborated on the possibility of meeting in person at February Quiz Rally and Mega Rally. If you are attending these events, it would be expected that you attend the in-person meetings. We also confirmed that the final “officer accountability” google form looked good.

Forming Committees

We then discussed the idea of forming committees. We discussed whether it would be instead of the main meeting, or in addition. These committees could sort out specific topics and smaller details. We decided a good amount on each committee is 3-4 people. Some committee topics could include figuring out testing prep (National and Local), Pizza parties (Quiz and/or Mega Rally), recruiting members, and raising awareness of opportunities in pony club (networking).

Testing preps could have meetings with instructors, but we could also organize for testers to also have their own study groups. We discussed how in person meetings would help testers feel the testing atmosphere, however, It was brought up that in person meetings could be hard to reach enough attendance. We decided it would be most beneficial for one committee to handle all testing preps right now because we are not exactly sure on all the specifics yet.

A committee for organizing clinics was brought up, but decided that would be hard to do due to the large geographic area of the Mid South region. However, we could change the location of the clinics to different areas each time.

We then decided who will be a part of each committee. The pizza Party Committee will include Maya Salazar, Abby Mckinley, Samaya Martz, and Lilli Seto. The test Prep committee will include Arlena Worm, Maya Torres, and Kate Schmitz. We decided to combine the Recruiting and Awareness committee into one because we decided they are very similar jobs. This committee will include Abby Mckinley, Zsa Zsa Beauchene, Maya Salazar, and Addison Bubonic. The Professional Career outreach committee will reach out to professionals interested in sharing or presenting details about their careers to pony clubbers. This committee will include Addison Bubonic, Maya Torres, and Samaya Martz.

We decided we will still do our monthly meeting on top of the committees and we will not decide the chairman/spokesperson of the committees until after they have their first meetings.

Defender Kentucky 3-Day Event

We then discussed DK3DE volunteering. This would be a fun get-together to get to know other MSYB members better while helping the event. We discussed volunteering in the dressage arena, in cross-country positions, decorating jumps with flowers, or volunteering as cross-guards. Lisa Bechtol said she could reach out for any group project volunteering positions available so we could work together better. We looked at the Defender website for specific volunteering positions as well. A good option we found is taking down the decorations on jumps so we are also able to watch people ride beforehand. We agreed these are all good ideas, but did not decide on one yet because we thought we could look into it more.

For Next Time

We decided to leave the deciding of testing preps specifics on our agenda to the now formed committee.
