April meeting #2 2024

Reviewing discussions from last meeting, bringing up new topics

Old Business

We reviewed the minutes from the last meeting and discussed a few new topics

I. Championships and Festival 2024

We did more brainstorming on what to do for this and the dates were brought up to help us understand how much time we have to organize it. It is held in the middle of July, specifically July 15-19 for Chamionships and July 20-22 for the Educational half of it. There will be more information to come closer to the dates. We also discussed changing the idea of raffling gift baskets (See last meeting's minutes) to happen at Rally and/or Champs instead of at Defender KY 3-Day Event.

II. Rally Pizza Party 2024

We mentioned raffling gift baskets at Rally and/or Champs instead of at Defender (see above).. We will plan more when we get closer to the event.

III. Defender KY 3-day event

We talked about keeping the saddle pad signing idea, but putting off the gift basket idea for when we have more time to get it organized and are more confident on the legality of it. This would hopefully be at Rally and/or Champs. We also discussed some logistics of saddle pad signing, and we willl be in contact with Jan Whitehouse (Organizer of Shop Pony Club) to see if we can get a Pony Club pad from there. If that doesn't work in time, William suggested having a backup plan of buying one from the Pony Club and Defender itself.

IV. Member selection

There was some open discussion about wether or not we should have a selection procsses in the first place right now. We currently have no members, however, we don't want to allow a single club or center to have too many members involved. We discussed having a limit of two members per club, like what has been done in the past.

V. Interested members

If you come in contact with somebody who is interested in joining the MSYB, there is a page on this website called "Contacting Us" that is a good resource for that. Ruth mentioned a past MSYB project was to create brochures on getting involved and will see if she can find those.

VI. Adult Advisor

It was confirmed that Lisa Bectol is our adult advisor/liaison. She gets copies of meeting minutes, updates, and more.

VII. Social Media

We talked about our low social presence, and, becuase neither Communication Coordinators were present, there was some confusion as to who had access to the socials. They will be contacted shortly to make sure anybody who needs access has it.

New business

There were some topics covered today that were not discussed in the last meeting

I. Rally videos

Not every video topic has an assigned person or group, but there are people outside of the board who are willing to help if need be.

II. Communication barriers

There have been struggles with our current system of communication, so we discussed some possible solutions. We suggested using Email for more important messages like sharing documents, links to zoom meetings, meeting minutes, etc.. There are some people who do not have access to the shared calendar, and it may not be available to Android users. Slack is not much of an option because it was charging money and not worth the cost.

III. Scheduling meetings

We discussed the idea of having meetings pre-scheduled longer in advance with them being repeated monthly or twice a month. The frequency may be higher around larger events to allow for more detailed planning.

Next Meeting

Some people have tasks assigned to them such as gaining information on a topic or specific detail from today.
